What questions to ask before booking a photographer in Surrey

28/06/2025 Posted by Martin Bamford Ideas, Photography

Imagine turning up on the day of your big event, camera in hand, only to discover that the photographs are nothing like you expected.

Few things are more disappointing than investing in memories that do not capture the spirit of the moment.

Before you commit to a photographer in Surrey, it pays to prepare a handful of carefully considered questions. By doing so, you will ensure that your chosen professional understands your vision and has the skills, experience and reliability to deliver images you will treasure for years to come.

First, you will want to ask about style and experience.

Every photographer develops a particular way of seeing the world. Some prefer candid, documentary-style shots that tell the story as it unfolds. Others lean towards more posed, formal portraits that emphasise structure and lighting.

Ask the photographer to describe their approach and to point out work that best reflects it.

If you are planning a family portrait session in the Surrey Hills, for example, you might look for examples of how they have composed shots in natural settings, captured genuine smiles and used sunlight to create warmth.

Likewise, if you intend to commission headshots for your small business, look for crisp, clean images that would sit confidently on a website or LinkedIn profile.

Next, it is wise to enquire about past projects and references.

A confident professional will be happy to share testimonials from previous clients and explain how they overcame any challenges during a shoot. If you have particular concerns (perhaps a very small child who may not sit still, or a corporate event with tight timings) ask how the photographer handled similar situations in the past.

A reliable photographer should be able to give concrete examples of flexibility, patience and problem-solving. They might recall calming a nervous subject by playing music or keeping sessions short and engaging with games for children.

Budget matters to us all, so it is important to discuss pricing in detail.

Ask how the photographer structures their fees. Do they charge by the hour or offer fixed-price packages? What exactly is included in each package?

Some professionals include a set number of fully edited images, while others charge extra for high-resolution files, albums or additional retouching.

You should also clarify whether travel expenses in and around Surrey are included or billed separately.

If you have limited space in your home are looking for digital files only, make that clear at the outset to avoid any unexpected additions to your invoice.

Usage rights and licensing will affect how you can share and reproduce your photographs. You must ask whether you will receive full permission to print, to post on social media and to hand out copies to relatives.

All photographers retain the copyright, and some will require additional payment for commercial or wider usage.

If you plan to use images for marketing your charity or promoting a solopreneur venture online, ensure your agreement covers that purpose. A professional will be ready to outline the terms in writing and explain exactly what you can and cannot do without further charge.

Practicalities on the day can make or break a smooth experience.

Find out how much time the photographer believes they will need and whether they will arrive early to set up. Ask what equipment they will bring for differing light levels in Surrey’s venues and outdoors.

If there is a chance of rain, will they have backup lighting or a suitable shelter?

It may also help to know how many assistants they work with, especially for larger events such as charity galas or brand launches, where multiple angles and simultaneous moments must be captured.

Insurance and contingencies are often overlooked but are essential. You might ask whether the photographer carries professional indemnity and public liability insurance. In the unlikely event that something goes wrong- equipment failure, sudden illness or a travel delay – you will want reassurance that they have a backup plan.

A seasoned photographer will explain how they protect against data loss, often by shooting to more than one memory card and employing reliable cloud-based or offsite storage after the session.

When it comes to editing and delivery, understanding timelines will reduce any anxiety about waiting weeks for your pictures.

Enquire how long it typically takes to see the first proofs, and when you can expect final edits.

Some photographers offer an express service for an additional fee, which might suit your needs if you are preparing a brochure or need images quickly for a website launch. You can also ask to see examples of before-and-after editing to appreciate the level of retouching they usually apply.

Finally, it is worth exploring the personal connection.

Photography is as much about rapport as it is about skill. Ask to meet for a quick coffee or arrange a video call to get a sense of how the photographer communicates.

Do they listen attentively to your ideas? Can they suggest fresh perspectives you had not considered? A comfortable working relationship will shine through in the ease of your session and the authenticity of the final images.

By posing these questions, you will gain clarity on style, costs, usage, logistics and personality. You will move beyond uncertainty and select a photographer whose approach and expertise align with your vision.

Whether you are a solopreneur seeking brand portraits, a family looking to capture a milestone or a charity organising a fundraising event, asking the right questions before you book will ensure that the moment unfolds exactly as you imagined.
